#Operations: Effects of deleting and overwriting users.

Users can be deleted so that the license can be reassigned again. Alternatively, the existing user can be overwritten with new access data.

Decide which is the better solution in your case, deleting or overwriting.

1) Delete a user

Administration > User

Select "Delete" in the dropdown menu in front of the user to be deleted:

Then select the user to whom the data should be transferred and confirm:

  1. If the user to be deleted has never been logged in, we will delete the user completely, as there is no other data associated with the user yet.

  2. If the user to be deleted was already logged in, we will keep him in the database, but will transfer the following data to an existing user:

  1. Personal tasks

  2. Delegated tasks

  3. Email histories (threads) that have not been shared with other users.

  4. Contents whose author or content manager is the user to be deleted.

The rest is still connected to the deleted user to be able to trace operations from the past. For example, if the deleted user created a content idea, that is still visible. As a user avatar, we show a grayed out avatar with the tooltip note "Deleted User". Currently we show "Inactive user", but we will optimize that ;).

2) Overwriting a user

If you have decided to keep the user account completely, and only change the name and login email address, please click on "Edit" of the corresponding user:

Then jump directly to point 3 in the user editing and exchange name and e-mail address:

To save please click Submit.

Attention: The user will not receive an e-mail with access data! He must request a password on the login page with the newly deposited e-mail address:
