Introduction

The absence feature ensures that your content processes continue to run smoothly even when team members are on vacation or sick leave. With automatic substitution rules in place, workflow tasks won’t be left unattended.

Explanation of the Feature

In contentbird, users can mark themselves as absent for a specific period and assign a substitute.

If a workflow task is assigned to an absent person during this time:

  • the task is automatically reassigned to the substitute

  • the workflow continues without interruption

If the substitute is also absent, this is taken into account and the task is forwarded accordingly.

Usage and Setup

Set Your Own Absence

  • Click on your user icon in the top right corner

  • Select “Absence”

  • Define the period of your absence

  • Assign a substitute

During this time, the selected person will automatically take over your tasks.

Manage Absences (Admin Function)

If users are unable to enter their own absences, there is a central management option:

  • Open the user management

  • Click on “Manage Absences”

Authorized users (e.g. with HR/admin permissions) can:

  • create absences

  • edit existing absences

  • delete or adjust ongoing absences

Benefits for Your Workflow

  • Continuity: Tasks are not left unattended

  • Automation: No manual reassignment required

  • Transparency: Clear responsibility at all times

  • Flexibility: Even complex substitution chains are handled

Best Practices

  • Enter absences early

  • Choose a substitute who is familiar with the content

  • Use the feature consistently across the team to avoid bottlenecks

  • For important projects, double-check workflow assignments

Conclusion

The absence feature in contentbird ensures that your content processes remain stable even when team members are unavailable. With automatic substitutions, tasks are reliably continued—without additional coordination effort within the team.
