Introduction

The Content Editor is the central tool in contentbird for creating, editing, and collaborating on content. This is where you write texts, work together with your team, and use features such as versioning, comments, and change tracking.

Function Overview

To edit content in the editor, you first need to activate edit mode. Only then does the text field become editable and the toolbar visible.

A notice may appear indicating that only one person can edit the content at a time. This ensures that no changes are accidentally overwritten.

In addition to standard formatting options, the editor offers advanced collaboration and quality assurance features such as versioning, change tracking, and comments.

If you need more space for writing, you can activate fullscreen mode. This hides navigation elements and provides a larger, distraction-free workspace.

Usage and Setup

Create and edit content

  • Activate edit mode in the content ticket

  • Start writing in the text field

  • Use formatting options to structure and improve readability

  • Optionally activate fullscreen mode for a focused workspace

Using versioning

The editor automatically saves your content temporarily when you pause. This allows you to continue your work later.

However, this auto-save does not replace a permanent version.

To securely save your work:

  • Manually save the content as a version

  • Assign a name or use the automatic timestamp

Saved versions can later be:

  • Compared

  • Renamed

  • Restored as the current version

Version differences are clearly displayed:

  • Red and strikethrough = deleted text

  • Green highlight = added text

⚠️ Note: If you leave edit mode without saving a version, changes and inline comments will be lost.

Using change tracking

With change tracking, you can make suggestions visible and collaborate more effectively.

After activating this feature:

  • Inserted text is highlighted

  • Deleted text is marked

  • Comments appear in the margin

Changes can be:

  • Accepted or rejected individually

  • Approved or discarded in bulk

You can also add comments to changes to simplify team coordination.

Note: This feature is only available in edit mode and cannot be used by observers.

Adding inline comments

To provide feedback directly in the text:

  1. Highlight a section of text

  2. Open the comment function

  3. Leave your comment

You can mention team members using “@”. They will receive a notification and can respond directly, making collaboration much more efficient.

Exporting content

You can export finished content directly from the editor:

  • As a Word document

  • As a PDF file

The export is downloaded locally and can be shared or reused externally.

Conclusion

The Content Editor is the core of content creation in contentbird. With features like versioning, change tracking, and comments, it enables a structured, collaborative, and secure workflow—from the initial draft to the final approval.
