What are the effects of deleting or replacing users?

Overview

In contentbird, users can either be deleted or replaced—depending on whether you want to reassign a license or continue using an existing account.


1) Deleting a User

📍 Settings → Users

  • Select “Delete” from the dropdown

  • Choose a target user for data transfer

Impact

  • If the user has never logged in:
    → The account is completely deleted

  • If the user has been active:
    → The account remains in the system (for historical purposes)

The following data is transferred:

  • Personal tasks

  • Delegated tasks

  • Email threads (non-shared)

  • Assigned content

👉 Historical actions (e.g. created content) remain visible
→ marked as an inactive user


2) Replacing a User

  • Edit the user

  • Change name and email address

  • Save changes

👉 The account remains fully intact (including all data and connections)

Important note:

  • No automatic email with login credentials is sent

  • The new user must request a password via the login page


Decision Guide

  • Delete → if a user leaves the company and data should be transferred

  • Replace → if an account should be reused (e.g. successor)


Conclusion

Both options provide flexible user management.
Deleting ensures a clean data transfer, while replacing allows seamless reuse of existing accounts.
